Invitation for Annual General Meeting (AGM) of the Polish Association in Christchurch



We hereby invite you to the Polish Association in Christchurch Annual General Meeting (AGM)


Date: Thursday, 29 May 2025

Venue: Multicultural Recreation and Community Centre, 455 Hagley Avenue, Christchurch Central City, Christchurch 8011

Time: 7:00pm - 9:00pm

Proxy: by 27th May



MEETING AGENDA:

In accordance with the Rules of the Association (s.12.2), the AGM’s Agenda is as follows:

  • Approval of the Minutes of the last General Meeting from the 14th of May 2024.

  • A report from the President in respect of the activities of the Association in the past year

  • A report in respect of membership

  • A report in respect of the financial statement for the past year

  • A report on activities from any of the special-purpose or interest groups existing within the Association during the past year.

  • Election of the Board for the 2025/26 year with the following composition: President, Treasurer, 4 Board Members.

  • Establishing a plan of activities for the coming year.

  • Opening the meeting for general discussion.


PROXY:

In accordance with the Rules of the Association (s.11.3), those who are unable to attend the AGM in person due to exceptional circumstances, but who have full membership rights, can do so by prior acceptance by the  Executive:


  • Nominate a proxy who will vote on their behalf at the AGM;

  • Offer (via PROXY) their nomination for the Executive.

If you wish to offer your nomination or participate in the AGM by proxy (form attached below), please confirm in writing by 27th May (inclusive) by sending your proxy/nomination to: polonia.christchurch@gmail.com

Membership fees for the Year 2025/26

Members who paid before the AGM (Thursday, 29th May 2025) can participate in the AGM elections.
